Why I Switched from Trello to Notion for Client Work (And Never Looked Back)

After years of juggling Trello boards and Google Docs, I moved all client projects into Notion. Here’s what changed.

Trello was fine until I had more than five clients. Suddenly I was drowning in boards, labels, and lost emails. Notion let me combine project tracking, client notes, and invoices in one place.

I built a simple client dashboard: each client gets a page with a project timeline, a meeting notes database, and a task list. No more switching tabs. When a client calls, I open their page and everything is there — their preferences, past feedback, next steps.

My favorite part? The template button. I created a ‘New Client’ button that duplicates the whole setup. Onboarding takes 10 minutes, and I look super organized. Plus, clients can get a shared view of their project status without seeing anyone else’s stuff.
